Description

This role provides essential administrative and operational support to ensure the efficiency of undergraduate programs and student services in the Jindal School of Management. The position reports directly to the Associate Dean of Undergraduate Programs and plays a key role in facilitating communication, scheduling, and financial management.

Minimum Education and Experience

Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.



Essential Duties and Responsibilities

Key responsibilities include:
  • Provide administrative support to the Associate Dean and Undergraduate Programs Office, including scheduling meetings, managing calendars, and handling correspondence with students, faculty, and external constituents.
  • Assist with the coordination of undergraduate program events, including student events, department meetings, and coordinating room/resource access.
  • Assists with purchasing, travel and hotel arrangements and reimbursements
  • Serve as the first point of contact for students, faculty, staff, and visitors, providing information and directing inquiries appropriately.
  • Assist in preparing reports, presentations, and other documents for program initiatives.
  • Support budget tracking and account reconciliation for multiple cost centers.
  • Coordinate office communications, including email updates, website content updates, and others as needed.
  • Perform other administrative tasks and special projects as assigned.

Remote Work Notice
A hybrid remote work schedule may be available (currently 1-day remote weekly). Employees must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
