Description
Develop, maintain, and administer a comprehensive security plan that encompasses card access, keys, and audits. Learn the software system that runs card access and provide support to all housing staff in utilizing the system. Provide administrative and operational support for the Senior Director of Housing Operations. This position will work primarily with the operations staff, but also with other housing staff as required. This position will support the Housing Operations team related to office supplies, scheduling, customer service, technology, and all administrative tasks. The Administrative Project Coordinator I will assist with procurement and will serve as a backup for other Administrative Project Coordinator's duties. This position may serve in an on-call rotation.
Minimum Education and Experience
Bachelor's degree in a related discipline and three years of administrative experience, experience related to the project area or any equivalent combination of education and experience.
Preferred Education and Experience
- Prior experience in a university housing setting is preferred.
- Computer skills including basic Microsoft Office skills and the ability to learn new systems.
- Experience with Microsoft Project or similar preferred.
Essential Duties and Responsibilities
- Provide back up for other Administrative Project Coordinators in regard to turn, vendor management and purchasing.
- Create and issue comet cards, temp cards with a tracking and audit program.
- Assist in compiling housing documents, reports, and assessment data.
- Develop, maintain, and administer a comprehensive security plan that encompasses card access, keys, and audits.
- Provide training to all housing staff in utilizing the card access system.
- Create Operator accounts in card access system and audit all accounts monthly.
- Monitor and adjust door schedules year-round.
- Audit, test ADA doors and work with vendors for repairs.
- Serve as backup for correspondence from housing operations email account.
- Assist with large-scale housing events such as move-in, move-out, opening, closing, programs, etc.
- Monitor camera system and work with vendor for repairs and improvements.
- Liaise with internal departments as needed (Facilities, Dining, Parking, Public safety, etc.).
- Serve as a backup for creating comet cards for housing.
- Other duties as assigned.
Additional Information
Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
