Working Hours: 12 - hour shifts - (8 am – 8:00 pm) **Required to work every other weekend and holiday rotation. Position Reports to: Urgent Care Department Manager ** Travel between Urgent Care locations may be required based on staffing needs.
Department Description: Wilson Health's Urgent Care provides treatment for patients of all ages for common illnesses and minor injuries. Our Urgent Care is staffed by skilled and experienced medical providers ready to care for individuals on a first-come, first-served basis depending upon the seriousness of their condition. Wilson Health's Urgent Care offers treatment for common illness and minor injuries including COVID-19 Testing, Colds-Cough-Fever, Flu Symptoms, Minor Burns, Minor Cuts, Sore Throat, Sinus Pain/Allergies, Ear Ache, Poison Ivy, Insect Bites, Rashes, Skin Infections, Strains/Sprains, Bumps/Bruises, Minor Sports/Injuries, Work/Sports Physicals, Stitches/Staples, and X-rays. JOB SUMMARY:
- The Urgent Care Patient Services Representative is the key individual that can make a positive first impression with patients and members of their families on the telephone and face-to-face.
- Under the direction of the Urgent Care Manager, the Patient Services Representative greets patients, obtains information, and enters this information into the registration system.
- The Patient Services Representative is also responsible for collecting the patient's portion of their financial responsibility, therefore requiring courtesy, understanding, tact, and assertiveness.
- The Patient Services Representative collaborates with the provider, clinical and clerical employees to meet the needs of our patients.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greets each patient on telephone or face-to-face in a courteous manner; adheres to ASPIRE values of the organization.
- Welcomes new patients to the practice; registers patients thoroughly, ensuring that demographic, insurance, and other data is accurate and complete.
- Directs incoming phone calls, messages, and electronic communication appropriately; always utilizes telephone management protocol.
- Utilizes practice management, electronic health records (EPIC), patient portal, and other electronic technology applications according to our guidelines.
- Meets WHMG and Wilson Health expectations for collection of co-pays and account balances; follows the cash handling policy at all times.
- Schedules patients accurately and efficiently, focusing on meeting the patient's needs.
- Collaborates with the provider and WHMG Administration to provide access to patients seeking all Wilson Health and Wilson Health Medical Group services.
- Enter patient charges and payments accurately into the practice management system.
- Enters referral tracking documentation into the practice management system; works on the referral tracking report to identify completed and outstanding referrals to follow-up with the patient for continuity of care.
- Abides by WHMG and Wilson Health Policies and Procedures at all times; follows federal and state laws and regulations, including HIPAA Privacy and Security.
PERFORMS ADDITIONAL DUTIES AS ASSIGNED WITHIN THE SCOPE OF THE RESPONSIBILITY.

EDUCATION and/or EXPERIENCE:
- High school diploma or equivalent
- Previous Medical Office Experience
- Knowledge of the electronic health records (EHR) - EPIC preferred
