Job SummaryWe are seeking a proactive and highly organized Trade Show & Event Specialist to plan, coordinate, and execute industry trade shows, conferences, customer events, and internal corporate experiences. This role is ideal for someone early in their events or marketing career who thrives in a fast-paced environment, enjoys hands-on execution, and is passionate about delivering high-impact brand experiences within the defense and technology sectors.
Job Responsibilities• Trade Show & Event Coordination (Primary Function)
o Assist with planning, logistics, and on-site execution of company participation in trade shows, expos, events and conferences.
o Coordinate event logistics including registration, booth shipping, product demos, graphics, and audiovisual needs.
o Manage event timelines, task trackers, and vendor coordination to ensure smooth execution.
o Support booth setup and teardown on-site
• Brand & Marketing Support
o Ensure all event materials and displays align with corporate brand guidelines and messaging.
o Assist with pre-event and post-event marketing activities, including email communications, social content coordination, and lead-capture processes.
o Collaborate with internal creative and product marketing teams to produce on-brand event collateral, signage, and customer-facing materials.
• Administrative & Project Management
o Prepare event briefs, schedules, manage travel logistics, track post-show metrics and prepare after-action reports.
o Help manage budgets, track expenses, and process invoices for trade show and event activities.
o Maintain the master calendar for trade shows, conferences, and corporate events.
o Maintain and track inventory of booth assets, promotional materials, and branded merchandise.
o Support high level internal meetings and conferences, VIP visits, and product demonstration days as needed.
• On-Site Event Execution
o Serve as onsite event support staff for up to 25% travel throughout the year.
o Assist with hosting customers, event activities including evening receptions, socials, and promotional activities, as well as coordinate demos.
o Troubleshoot logistical and other challenges in real-time and escalate issues as appropriate.
• Qualifications
o Bachelor's degree in Marketing, Communications, Event Management, Business, or related field — or equivalent experience.
o 3+ years of experience in events, trade shows, marketing coordination, or similar roles (internships included).
o Strong project management and organizational skills with exceptional attention to detail.
o Ability to multitask and manage competing priorities under tight deadlines.
o Excellent written and verbal communication skills.
o Proficiency in Microsoft Office Suite; familiarity with project management tools and graphic design tools is a plus.
o Comfortable with hands-on, physical tasks such as booth setup and packing event materials.
o Ability to travel up to 25% for domestic events and maintain in-office presence of at least three days per week.
