Summary:

Enhance department's effectiveness by providing professional administrative support to the Finance Office. Achieve results through direction, assistance, and coordination of activities. Work closely with executive, managerial, and staff to promote effective communication and work processes within all areas of the Nation. Serve as recording secretary and designated staff assistant for the Oneida Fund donations and the Finance Committee.


Detailed responsibilities:
* Provides professional and clear communication verbally and in writing to all internal and external customers.
* Provide administrative office support and leadership to the Finance Administration area to include answering and directing telephone calls; receiving, sorting, distributing, and following up on written correspondence; maintaining and ordering office supplies, equipment, and paper; and maintaining records in accordance with record retention policy.
* Provides administrative support for the Finance Committee by scheduling meetings, preparing meeting minutes, preparing meeting packets and process all payments.
* Provides administrative support for the Oneida Fund by receiving, processing, and following up on all donation requests.
* Acts as central contact and intake between the Finance Committee (FC), internal/external customers for requests/submissions to the Finance Committee.
* Conduct E-polls and follow up with the Oneida Business Committee (OBC) in submitting Finance Committee minutes for approval.
* Support the Chief Financial Officer (CFO) and Assistant Chief Financial Officer in providing leadership, direction, coordination, and ethical practices of all activities within the Finance Division.
* Supports the Finance Executive Staff in preparing legal agreements for signature, processing and mailing.
* Develop and obtain Finance Committee approval on forms, internal processes, procedures and related to tribal donations, investments, loans, submit compliance reporting, internal controls, on documents as needed. Records all activities in the Finance logbook, obtains appropriate BC and Finance signatures and sends all documents to various contacts to include banks and other financial entities.
* Creates, updates, and develops forms, policies, and procedures for the Finance Department and Oneida Fund to include advertisements to the public
* Review, submit and follow-up on all requests to the Finance Committee for action.
* Analyze Oneida Fund spending, reporting to the Finance Committee, and recommends changes to the CFO, Treasurer, OBC and Finance Committee as needed
* Communicate with management, department employees, vendors, and the public in person, in order to obtain, disseminate information and resolve finance related discrepancies.

* Operating various word-processing, spreadsheets, and database software programs in a Windows environment

* Analyzing problems, projecting consequences, identifying solutions, and implementing recommendations
* Skill in operating document management systems and AS400 accounting systems and software
* Ability to exercise independent judgement
* Ability to exercise proper discretion in communication of internal information to the proper recipient

* General Ed, High School Equivalency Diploma, HS Diploma

A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.

Must provide a copy of diploma/degree, license, or certification upon employment.
